Lennox Heat Exchanger Warranty and Mixed Service Requests: A Buyer's Guide

There isn't one repair rule that fits every facility. When I look at my service inbox, it's often a messy mix: the Lennox HVAC system has a fault, the delivery van is showing a tire pressure sensor warning, the break-room freezer has heavy ice, and someone says a radiator spring sounds like it is starting to rattle. You can't treat each item as an emergency (or you can, but only if you're ready to rewrite the budget). The trick is to sort the work request before you call the first vendor.

I'm the office administrator for a 140-person company, so my job falls somewhere between operations and finance. I manage maintenance buying for an office building and a small warehouse. Start With Three Buckets, Not One Rule

The second bucket is a warranty or covered repair that can run for a few days while you confirm coverage and order parts. The mistake I see is to skip bucket two and move straight to 'send someone now.' If you do that, you pay for all the labor, all the support, and all the risk. If you take ten minutes to check ownership, registration, and warranty status, you can often turn an expensive repair into a much smaller expense.

On the HVAC side, the first scenario I think about is a suspected heat exchanger failure. I'm not an HVAC technician, so I don't try to diagnose cracked metal or look at burner flames. What I do know is what a buyer should do after the technician raises that possibility: act like it is a safety issue first and a warranty issue second.

If the unit is a gas furnace or a heating appliance and someone reports an unusual odor, the safest move is to stop using the equipment until a qualified dealer has checked it. First, ask if the situation can hurt someone or damage the building. If it can, use bucket one and move quickly. Second, ask whether the equipment is under an OEM or service warranty. If it is, treat the phone call as a claim, not as a blank authorization to repair. Third, ask whether a one or two-week delay actually makes the problem worse. If it doesn't, schedule it with preventive maintenance.

This is also where I use a simple digital log. In 2024, I created a spreadsheet with columns for equipment name, serial number, installation date, warranty registration status, and service vendor. It sounds low tech, but it cut the time I spent on warranty calls from about three hours per claim to forty-five minutes. It also stops me from relying on memory when heat exchanger or compressor warranty questions appear.

If multiple small issues come up at the same time, group them.
